What is a quotation?

A quotation (or quote, or estimate) tells a potential customer what you will supply and at what price, before they place an order. It helps customers compare suppliers and gives both sides a written record of the agreed scope and price. Once accepted, the quotation usually becomes the basis for a purchase order and, later, the invoice.

What to include

  • Quotation number and date for easy reference.
  • Validity: prices can change, so state how long the quote holds, commonly 15–30 days.
  • Clear item descriptions with quantity, unit rate and totals.
  • Taxes: say whether prices include GST. With GST ticked, the tax is shown separately.
  • Terms: payment terms (such as 50% advance), delivery time, warranty, and what’s not included.

Tips for winning quotes

  • Be specific about scope. Vague descriptions lead to disputes later.
  • Break large jobs into line items so customers see what they’re paying for.
  • Offer options (basic and premium) as separate lines if useful.
  • Send it quickly: speed often matters as much as price.

From quote to invoice

When the customer accepts, raise an invoice with the same items using the GST invoice generator. For discount and margin maths while pricing, the percentage calculator helps. The PDF is generated in your browser and nothing is stored on our servers.

Example terms and conditions

  • Prices are valid for 30 days from the quotation date.
  • 50% advance with the order, balance on delivery.
  • Delivery within 7 working days of receiving the advance.
  • GST extra as applicable, if not included above.
  • Installation and transport charges are included / excluded.

Edit these to match your business. Clear terms prevent most disputes about payment and delivery later.

Quick answer

Is a quotation legally binding? A quotation is an offer; once the customer accepts it in writing, it can form part of the contract. Keep it clear and realistic, and mention validity so old prices can’t be claimed months later.
