The format of a leave application
A leave application is a short formal letter. Whether it’s for your manager, principal or head of department, it follows the same structure:
- Date of writing.
- To: the person’s designation and the organisation (for example, “The Principal, ABC School”).
- Subject: “Application for leave from [date] to [date]”.
- Salutation: “Respected Sir/Madam”.
- Body: who you are, the dates, the reason, and arrangements for your work or classes.
- Closing: “Yours faithfully”, your name and designation or class.
Writing a good reason
Be honest and brief. Common reasons: illness or doctor’s advice, a family function or emergency, travel to your hometown, an exam or interview, or personal work. For sick leave longer than a few days, schools and offices may ask for a medical certificate from a registered doctor.
For employees
- Apply in advance for planned leave, and follow your company’s leave policy and HR system.
- Mention who will handle urgent work and whether you’ll be reachable.
- For emergency leave, inform your manager by phone first and send the application afterwards.
For students
Parents can write the application for younger children. Include the class, section and roll number so the teacher can update attendance. Keep an eye on minimum attendance rules with the attendance calculator.

Example reasons that work well
- “due to fever and my doctor’s advice to rest for three days”
- “to attend my sister’s wedding in Jaipur”
- “due to a family emergency that requires me to travel to my hometown”
- “to appear for the SSC CGL examination on 14 September”
Keep the reason short and specific. There’s no need to share private medical details beyond what’s necessary.
Keep a copy of approved leave requests for your records, especially for long leave.
