Experience letter vs relieving letter

An experience letter (or experience certificate) confirms that a person worked with the company, their role and period of employment, and often includes a line about their conduct. A relieving letter confirms that the employee resigned, was relieved of duties on a specific date, and has no pending obligations. Many companies combine both in one letter, which is what this template does.

Why employees need it

New employers and background verification agencies usually ask for relieving and experience letters from previous jobs. They are also needed for visa applications, higher education, loan applications and some government jobs.

What to include

  • Company letterhead details: name, address, and ideally logo and contact.
  • Date of issue.
  • Employee’s full name, designation and department.
  • Date of joining and last working day.
  • A statement that the employee has been relieved and dues settled (if true).
  • Name, designation and signature of an authorised signatory, usually HR, with the company seal where used.

For employers

Issue letters on official letterhead, keep the language factual, and make sure dates match payroll and PF records. Don’t include negative remarks; if there are issues, consult HR policy or legal advice. Print the PDF on letterhead or add your logo, then sign and stamp it.

For employees

This format is for employers to issue. A self-made experience letter without the company’s authorisation is not valid and using a fake one is fraud. If your employer hasn’t issued one, ask HR formally by e-mail. Update your resume with the exact dates from the letter. Documents are generated in your browser and not stored.

Quick answers

How soon should it be issued? Usually on or soon after the last working day, once exit formalities are complete. Should it be on letterhead? Yes, and signed by HR or an authorised manager. Can it mention performance? A brief, positive remark is common; detailed feedback belongs in a separate reference.
